Before we dive into the differences between the top carriers, a little background on myself: I came up with the idea for the shipping school after working at various e-commerce startups at the time, where to be honest I made a lot of mistakes.

To be honest, it can be difficult to stay current in the ecommerce fulfillment game, especially in something as constantly evolving as the shipping and logistics industry. Sometimes navigating it feels a bit like trying to solve a Rubik’s Cube, which is made up of constantly changing colors.

So I thought I’d pour my experience into a free, easy-to-digest resource where new shippers can get the information they need, when they need it.

Speaking of new shippers, whenever an e-commerce business takes off, entrepreneurs always get into what I call the “ship search” phase. When it comes time to fulfill orders, they are faced with two critical questions:

How much does it cost to ship these packages? Which carrier offers us the best prices?

In the United States, there are three major shipping carriers to choose from: USPS, UPS, and FedEx. All three offer great services for both individuals and small businesses. Depending on what you and your business need, one may be the best choice compared to the other.

Let’s get into that.

USPS vs. UPS vs. FedEx: an overview

Although they may seem similar at first glance, all three major US mail order companies specialize in different areas of the industry. As a crash course, I’ve written a brief overview of each carrier below.

USPS Shipping

USPS is the airline built for the people. Literally. When it was founded in 1775, USPS was built on the promise of universal service for all Americans at affordable prices.

USPS is the only carrier legally authorized to touch every mailbox in the country, and it has developed an unparalleled network to deliver mail to every household in America. It uses the same network to also offer different email types at the lowest prices.

In general, USPS specializes in handling small, light packages under 20 pounds — think packages containing items like clothing, books, and cosmetics.

One of the best things about USPS is that it also offers specially discounted services like Priority Mail Cubic, where shipping rates are based on a package’s external dimensions rather than its total weight.

UPS shipping

Optimizing your shipping strategy, including costs, can help you improve your bottom line. Here are five useful tips on how to reduce shipping costs, no matter which carrier you use.

1. Optimize your packaging size (the smaller the better)

Shipping is an industry where size matters; don’t let anyone tell you otherwise. No matter which carrier you choose, making sure your packaging is as small as possible is the most effective way to keep shipping costs low.

If you use packaging that is too large for your items, you may be charged the dimensional weight of your package instead of the actual weight. In short, Dimensional Weight (or “DIM” for short) refers to the space your package occupies on a carrier’s truck. Shipping companies charge you for the “weight” that makes them more money: the actual weight of your package, or its dimensional weight.

Spoiler alert: DIM weight is always a lot more expensive than you’d like, and like Vegas, the house always wins.

UPS allows a much higher maximum declared value of US$50,000 (or local currency equivalent) per shipment for insurance. This gives you much more leeway for shipping expensive items and often at a better price than FedEx. For comparison, the maximum you can declare to the USPS with most insurance companies is $5,000.

Amanda D. asks: I was just wondering what would happen if instead of a stamp you attached money to a letter and tried to mail it?

As we discussed in our article What happens to undeliverable mail with no return address? Those charged with handling mail often go beyond what is expected of them to ensure that every piece of mail reaches its intended destination. And in the United States at least, it seems that this admirable devotion to the job includes sifting through letters with the correct postage taped instead of a stamp.

Yes, strange as it may sound, in the United States it is indeed quite possible to mail a letter simply by appending money equal to the postage required for a particular letter and still get it delivered. It’s also quite possible to have a mix of these where you might need two stamps on a particular letter but only had one, so apply a stamp and then some loose change to cover the rest. Unfortunately, this doesn’t seem to be the case in several other countries we’ve looked at, like the UK, or at least we couldn’t find any examples of people successfully doing this, or provide any rules that seem to allow it. In fact, in the UK, sticking coins on an envelope that matches the normal postage for the letter itself, even if it has been processed, could see whoever you are sending the letter to be charged extra as each letter is of a thickness of more than 5 mm is considered a “large letter”. as per Royal Mail rules and therefore requires the sender to pay a little more for the privilege of sending it.

Returning to Freedom Mail to cite the United States Postal Service Domestic Mail Manual Mailing Standards, Part 2.3.3 Mail Collection:

Generally, mailable items are collected from a mailbox when postage is fully prepaid or money equal to the postage required remains in the mailbox. Money in a mailbox is deposited at the risk of the customer. If there is insufficient postage or money to cover the postage, the mail will not be collected, or if the sender cannot be identified, the mail will be treated as postage collect. Unfranked mail found in boxes, laid up, attached, carried or hanging from boxes will be handled in accordance with applicable standards.

However, there are some possible caveats here. First of all, mail with the correct bill of exchange postage instead of a stamp usually has to be sorted by hand, which of course causes some delay in the letter. Also, while postal workers make an effort to locate and process these letters, it is also noted that sometimes, especially if you handed in the letter rather than posting it from your own mailbox, they are processed by the automated sorting machine, which is a tendency has to chew up letters with foreign objects stuck to the outside. So be careful with that too.

According to Fran Eagle, the post office’s former mailroom manager, the usual process of handling letters with coins and the like attached is to remove the money and replace it with a stamp before simply feeding it back into the sorting machine to continue on like any other other mail. However, this can potentially pose a problem because, with some caveats, it is a federal crime to knowingly open another person’s mail, which can easily be done accidentally when tape is removed from a flimsy paper envelope. As such, some postal workers may be wary of attempting to remove change in some cases, even if it is the correct amount. In these cases, they can either ship it back to you or to the Mail Recovery Center (colloquially known as the Dead Letter Office). As we discussed in our article on this topic, the Mail Recovery Center employees are incredibly dedicated to their work, so there is a good chance that the letter will still be delivered even in this case.

Moving on, it turns out that the United States Postal Service has a number of obscure rules regarding mail and postage that vary by geography. For example, if you live far from a big city and far from suburbs or the like, your mail will in all likelihood be handled by a rural postman. Because of the nature of their work, rural mail carriers receive a variety of perks that traditional mail carriers do not enjoy. This includes the ability to wear their own clothing of choice and drive their own vehicle if they wish. More relevant to the subject at hand, benefits aside, they are also capable of acting as a sort of mobile post office.

For example if you want to buy stamps just wait by your mailbox for the postman to arrive in the country or leave the relevant money in the mailbox with a note saying what it is for and they will generally be happy to sell you some. They can also process priority mail, priority mail, or do whatever is necessary to help you send a package (even with insurance), sell you a money order, and process certified or registered mail, all much like postal workers do would do it if you actually went to the post office.

As you may have guessed from all of the above, simply leave the required money for the postage for a mailpiece in your mailbox, perhaps in a separate envelope clipped to an envelope or Priority Mail item you are sending with instructions on how to send money, they should be happy to process it for you as if you went to the post office to have it done. And in that case, if you’re leaving extra money for a booklet, you should leave that too.

The idea here is that people living outside of more populated regions often have to travel a long way to get to the post office, so they simply authorize their rural hauliers to do many of these tasks right at your mailbox.

Finally, at this point you might be wondering how often people actually send mail with money instead of postage attached. In relation to the number of letters processed daily, this turns out to be not very frequent. According to the USPS, they process approximately 187 million first-class mail items each day, of which only a few dozen items a day contain money instead of stamps.

1.0 Payment in advance and additional postage

1.1 Prepayment Terms

The sender is responsible for paying the postage properly. Postage for all shipments must be prepaid in full at the time of shipment, unless this is specifically provided by default for:

a. Business reply labels (see S922) and franked reply labels (see P030) treated as business reply labels.

b. Goods return service (see S923).

c. Certain postal items from members of the armed forces (see E030).

i.e. Certain matters of or for the blind or disabled (see E040).

e. Official mail (see E050 and E060).

f. Return of keys and means of identification to the owners (see E120 and E130).

1.2 Mail without postage

Items of any class, including those for which special services are specified, which reach either the post office or the address office unpaid, will be marked ‘Returned to the post office’ and returned to the sender without attempted delivery. If an email recipient attempts to return or forward the email without paying additional postage, if necessary, the email will be marked “Returned for Postage” and returned to the recipient. If no return address is provided, or the shipping and return address are the same, or the shipping and return address are different but for the same person or entity, the piece will be treated as undeliverable.

1.3 Unpaid Chargeable Response Mail

Franked reply items on which the sender has not printed a franking mark are treated as business reply items (BRM). This mail will be delivered against payment of postage and the applicable business reply unit fee for basic BRM.

1.4 Unpaid matter for private delivery

If prepaid mail destined for delivery by a private delivery company is found in USPS collection boxes (or other mail holding containers), USPS facilities, or USPS mail processing facilities, the company will be contacted to collect the item by the end of the next business day. If the company does not collect the item, it will be returned to the sender postage paid. If the sender cannot be identified or denies the matter, it will be treated as dead mail.

1.5 Short-Paid Mail – Basic Standards

Mail of any class, including special service mail (except Priority, Registered and Non-Machinable First Class mail), arriving at either the Post Office or the Address Office without sufficient postage will be marked to show the total (rounded to the extent of lack of postage and Fees. Individual such items (or quantities of less than 10 items) will be delivered to the addressee against payment of the charges stated on the post office. For bulk shipments of 10 or more, the sender will be notified so that the postage costs can be adjusted before shipment.

1.6 Short Paid Express Mail

An insufficiently prepaid express mail item will never be marked “Postage Due” and no attempt will ever be made to collect the defective postage from the recipient. For next-day, second-day, same-day military, or airport express shipments received at the shipping facility without sufficient adhesive or postage stamps, the shipper will be contacted to rectify the deficiency prior to shipment. If postage is paid from an Express Mail corporate account or a federal government “Postage and Fees Paid” notice and the mailer writes an incorrect postage and/or fee amount, the correct amount will be charged to the account. For a custom service item that is received by the shipping office at an incorrect weight and postage is paid for with adhesive or franking marks, the shipper will be contacted to correct the error prior to shipment. If postage is paid from an Express Mail corporate account or a federal government “Postage and Fees Paid” notice, the correct amount will be charged to the account.

1.7 Short-Paid Registered Mail

You can check the service counter at your local Walmart to see if they carry stamps in store. However, my local Walmart only offers stamps online, so be prepared to order stamps through their website.

Buying your stamps at your local grocery store might be convenient for you since that’s where you’ll be shopping anyway.

5. Office Supply Stores

Do you like going to office supply stores? If so, there are a few office supply stores that carry stamps.

Office Max/Office Depot and Staples are two stores that typically stock stamps. Other local office supply stores may also stock stamps.

As with other suggestions here, it’s best to call and check if the store carries stamps before you go, as some places may carry them and some may not.

Expect a surcharge on the regular USPS price for postage.

This means that you could be unlucky if you don’t receive the product you paid for, or if the product is damaged, lost or stolen.

7. Over the phone

Another way to buy stamps is to order over the phone. The USPS has a phone number you can call to have stamps mailed to you.

The phone number for the USPS Online Order Center is 1-800-782-6724 (or 1-800-STAMP24).

When you call this hotline to order stamps, you can specify the type of stamps you need, provide your payment information, and wait for your stamps in the mail.

It is important to note that this USPS line is not always available. Due to the pandemic, you may be redirected to order stamps online if staff is not available to order over the phone.

8. Pharmacies

Drugstores sometimes carry stamps that you can purchase.

Some of the pharmacies that may carry stamps are Walgreens, CVS, and your local non-chain pharmacy.

As with other proposals, some pharmacies can carry stamps and others cannot. Check at the customer service desk to see if your local pharmacy or chain store has stamps.

Walgreens alone has over 9,200 stores in the United States, so there’s a good chance a Walgreens near you carries stamps.

Interestingly, the Walgreens location near me does not charge a service fee to purchase stamps. They sell them for the same price as postage.

However, you may find that your local Walgreens or other pharmacy charges a service fee. This usually varies by store.

9. Post Offices

You may find that one of the best places to buy stamps is at a local post office.

There are no additional service charges when purchasing stamps from a post office and the stamps are never empty.

The only downside to buying stamps at a United States Post Office is that opening hours may be limited depending on the location in your area.

Some post offices in larger cities may have longer hours and are open on Saturdays.

However, post offices in smaller towns and rural areas can have restricted opening hours, which can make purchasing stamps cumbersome.

Also, post offices are closed on most major holidays. This fact can also make it inconvenient to buy stamps from the post office.

However, the post office can be a very convenient and inexpensive way to purchase stamps, provided you can reach them during regular business hours.

Check the USPS website for post office locations and hours of operation in your area.

10. Wholesale Racket

You may think that you’ll save money on stamp purchases by shopping at your local warehouse club like Sam’s Club, BJ’s, or Costco.

You’re right. However, don’t expect to save a lot of money by buying stamps from a wholesale club.

When I checked the prices for this item, Sam’s Club was selling a book of 100 Forever stamps for $57.75.

The regular price for a book with 100 Forever stamps is $58.00, so you only save $0.25. But frugal people will tell you that every penny is worth it.

Call or stop by the wholesale club you are a member of to see if they have stamps available for purchase.

USPS vs UPS vs FedEx Services

For overnight delivery, the three services to consider are the Post Office (USPS), United Parcel Service (UPS), and Federal Express (FedEx).

At the USPS, the guaranteed overnight service is called Priority Mail Express, or sometimes abbreviated as Express. Regular Priority Mail is not guaranteed. Priority Mail Express delivers 7 days a week and guaranteed.

At UPS, the guaranteed overnight service is called UPS Next Day Air. There is a UPS Next Day Air Early if you want the package delivered before 9:30am (sometimes as early as 8am in many areas). If it doesn’t have to be there by 3pm or 4:30pm, you can opt for UPS Next Day Air Saver.

At FedEx, the guaranteed overnight service is called FedEx Overnight. There’s FedEx First Overnight for next morning delivery. There is FedEx Priority Overnight for delivery by 10:30am or in the afternoon in more remote areas. Finally, there is FedEx Standard Overnight for delivery by 3pm or 4:30pm for rural areas and by 8pm in residential areas.

For our purposes, we’ll assume that getting it there the next day is important, so let’s compare the cheapest of the three options for the next day.

UPS Next Day Air for a half pound UPS letter starts at $35.29. If you need UPS Next Day Air Early, it costs $67.73! (2nd Day Air drops it to $25)

FedEx Standard overnight in a half pound FedEx envelope starts at $32.03 if it gets there by 3pm. If you need it, FedEx First Overnight, Delivery by 9:30am), it starts at $65.56!

For UPS and FedEx we have choices due to the different types of overnight services they offer. The most expensive is the class in which the package is there in the morning. If it has to be overnight internationally, you’re pretty much limited to DHL. This price is valid from December 2018.

DHL will send a half pound letter overnight from New York to London, England for $107.72 to $63.07 depending on what time of day you need it.

A 10-pound box measuring 13.2″ x 12.6″ x 2″ will set you back between $248.86 and $226.71.

What does “guaranteed” really mean?

Each of the services will do their best to deliver packages the next day, but no service will be able to do this with 100% success. The guarantee simply means that you will be reimbursed for the shipping costs if the package is not delivered at the promised time.

Unfortunately, they can’t go back in time and make sure it gets there the next day.

If you don’t need it there the next day, the prices change slightly. This post captures the cheapest shipping options available from each of the carriers for each speed. USPS wins in some cases, but reliability can be an issue.

How much does a package cost for one night?

The short answer? It depends on.

Overnight shipping rates are subject to change based on a number of factors, including the following:

1. Package Dimensions

All major carriers use a pricing model called Dimensional Weight (aka DIM Weight) to calculate shipping costs. The DIM weight takes into account the dimensions of a package to determine shipping costs.

Dimensional weight is calculated by multiplying the length, width, and height of a package and then dividing that number by a DIM divider. Carriers calculate shipping costs based on the higher of the actual weight of the package or its DIM weight. This results in the billable weight that determines your overnight shipping costs.

2. Package Weight

Heavier packages cost more than lighter shipments. As mentioned above, if the actual weight of a package is greater than the DIM weight, it will be used to calculate the shipping cost. The heavier and larger the package, the more expensive shipping will be.

3. Shipping Zone

Shipping zones measure the distance between a package’s place of origin and its destination.

Carriers use shipping zones to calculate shipping costs. In the US, these can range from Zone 1 to Zone 8.

Shipping zones are calculated based on where an order is shipped from. This means that two different origins with the same destination can be shipped to completely different zones.

The higher the shipping zone, the more expensive it is to ship a package. When it comes to overnight delivery, next-day shipping, and other expedited shipping options, the price hike between zones becomes exponentially higher.
