Car Club Rules

You must also inform your members of their obligations to the car club. The rules should set out when the club meets, e.g. on the first Sunday of each month and the reason a member may miss a meeting, e.g. B. only because of a family or work-related emergency. Your rules should also state that auto club business should not be discussed with non-members. Bylaws of the Past Pleasures Car Club

Article 1. NAME AND LOGO

Sec. 1. The name of this organization is Past Pleasures Car Club. PPCC is also a recognized name for the Past Pleasures Car Club. For purposes of this document, the term “club” refers to the Past Pleasures Car Club.

Sec. 2. The club logo must be (PAST Pleasures Car Club Logo) and contain the club name and a flamed 32 roadster. The logo at the top of this document is a representation of the club logo and is part of the bylaws.

Sec. 3. Use of club logos, t-shirts, jackets or other items such as club discounts is restricted to active, dues-paying members and their immediate family members.

Article II. PURPOSE AND OBJECTIVES

Sec. 1. The Past Pleasures Car Club is a group of individuals dedicated to the preservation and shared love of cars and music of the 1950’s and 60’s. The club shall be non-commercial, non-sectarian and non-partisan. The club name, or the names of members in their official capacities, may not be used in support or promotion of any commercial enterprise or in connection with partisan interests, or for any purpose not reasonably related to the advancement of the club’s purposes.

Section 2. Incorporated in January 1979, club members participate in automobile-related activities including cruises, picnics, shows, rod runs, and other auto club support events.

Sec. 3rd Monthly Auto Show

a. The club sponsors a monthly car show on the first Friday of each month from April through November to benefit the club, the community, the media and law enforcement and to create an atmosphere of goodwill for other clubs and individuals to display their cars. Prizes will be awarded during the show.

b. Club members’ cars may be featured but are not eligible for awards.

c. If a regularly scheduled show is cancelled, a December show may be held with majority approval at the next business meeting.

Second 4th annual exhibition

The club may sponsor an annual benefit car show. The purpose of this show would be to raise funds for a specific charity.

Sec. 5. Issues

a. The club is devoted to charitable causes and no part of the net income or assets of this club shall ever benefit or benefit any officer, director or member thereof, or any individual.

b. The club may sponsor activities or purchase items that benefit all club members, such as club show supplies, sympathy cards and gifts, and reservations and meals for a planned event such as the Christmas party or other club events.

Article III. MEMBERSHIP

Sec. 1. Full Club Membership – Must be a legal adult (i.e. 18 years old).

Sec. 2. Associate Club Membership – For enthusiasts under the age of 18. You may participate in all club activities, but may not vote at club business meetings.

Sec. 3. An ordinary member and associate member should be an individual of good character, camaraderie and sportsmanship, an upstanding citizen with a willingness to take an active part in club activities, membership and business meetings, and must have completed and submitted a club membership application and paid appropriate dues .

Sec. 4. Surviving Spouse Membership – Applies to families whose primary member has died. The surviving spouse may remain a non-paying member until they wish to become a full member of the club again or decide to terminate their membership in the club. You may participate in all club activities, but may not vote at club business meetings.

Sec. 5. Honorary Membership – Prospective Honorary Members are nominated and confirmed by the general membership during a regular club meeting. Honorary Members should be members of our community who are longtime promoters, enthusiasts, and supporters of our club. You may participate in all club activities, but may not vote at club business meetings.

Section 6. Any club member who regularly engages in unsafe driving or otherwise damages the purposes and reputation of the club through his or her personal behavior can be suspended or excluded from membership in the club. Suspension or expulsion must be accepted by a majority of the members present at a regular monthly business meeting. Prior to any suspension or disqualification hearing, the individual concerned shall be notified in writing of the date, time and items to be discussed at the proposed hearing.

Article IV. CONFERENCES

Sec. 1. An official business meeting is held once a month and is open to general membership. The time and day are determined by the members.

Sec. 2. Board Committee meetings and organizational meetings may be held as often as is necessary for the conduct of their business.

Section 3. The quorum for the conduct of business at a general business meeting shall be at least fifteen percent (15%) of the dues-paying members. There is only one vote per membership.

Sec 4. All business meetings are conducted in accordance with Robert’s Rules of Parliamentary Procedure.

Article V. FEES

Sec. 1. Annual non-refundable dues for remaining members are due January 1st. Members who default after April 10th will be disqualified from membership.

b. Club Membership Renewal – Annual dues are $20.00 per family. This fee includes a club membership t-shirt.

Article VI. BOARD

Sec. 1. Officers of the club are:

Article VII. ELECTIONS

Sec. 1. The privilege of holding office is restricted to members of the club whose dues are paid and who are otherwise of good standing.

Sec. 2. Nominations for officers will be made at the November business meeting.

Section 3. The election of officers will take place at the December business meeting.

Sec. 4. Vacancies

a. If the President is unable to complete his term of office, the Vice President becomes President for the remainder of the term.

b. Any vacant officer position other than that of President shall be filled by the appointment of a temporary officer by the President. The new CEO will hold this position for the remainder of the term after being confirmed by majority vote at the next AGM.

Sec. 5. Officers serve for terms of one year or until their successors are elected or appointed. No officer may be eligible for more than two consecutive terms of office for the same office or hold more than one elected office.

Sec. 6. The term of office of officers runs from January 1 to December 31 of the same year.

ARTICLE VIII. DUTIES OF OFFICERS

SEC 1ST PRESIDENT –

a. To act as Chair at all meetings and to ensure continuity and coordination of all functions. To act as master of ceremonies at the monthly show and other presentations. Must hold meetings in an orderly and timely manner to complete club business in a timely manner. Appoint directors and committees as necessary and serve ex officio on all committees. Coordinates club officers, directors and committees to ensure that club objectives are met.

b. May appoint directors and committee chairs to promote the efficient operation of the club. These directorships may include, but are not limited to:

2ND VICE PRESIDENT –

a. Carrying out the duties of the President in his absence.

b. Serve as the officer in charge of the monthly show.

sec. 3. SECRETARY –

a. Shall record the minutes of club meetings, make copies of minutes for distribution at the next business meeting, handle all club correspondence, keep all records, and issue the notice of election of officers.

b. Provide all members with copies of the club bylaws.

Sec. 4. Treasurer –

a. The treasurer shall deposit and keep the club’s funds in a designated bank account, make payments from the club account when necessary, and present a written statement of account at each club business meeting. Maintain permanent books and records sufficient to show the gross receipts, income and expenses of the club, including the number of members and dues collected from members. These books and records must be available for inspection by a club officer at all reasonable times.

b. All monies spent between $50.00 and $100.00 must first be approved by a majority vote of club officers. All monies spent over $100 must first be approved by a majority vote of the general members at a regularly scheduled business meeting. All expenses must be accompanied by receipts. Dues are collected by the Treasurer, who deposits these monies into the club’s bank account, submits a written report to membership, and provides the membership director with an accurate updated list.

c. Provides the auditor with all bank statements, bank statements and all other relevant documents required to complete an audit of the club’s financial transactions and records. This official audit is conducted after the December business meeting and before the February business meeting.

i.e. Prepare an annual financial report to the club showing gross income and expenses at the end of the year.

Article IX. DUTIES OF APPOINTED DIRECTORS

Sec. 1. MEMBERSHIP DIRECTOR – Fixed position. Maintains a complete list of current membership and makes copies available to members if required. Provide copies of the club membership application to prospective new members. Collect new membership applications and report them at the club meeting. Provide new membership certificates for all new members and act as custodians of club t-shirts. Coordinate with the Treasurer for an accurate list of dues-paying members.

sec. 2. HISTORIAN – Permanent position. Keep an album of the club event. If and when an appropriate display is prepared for these items, the historian is the custodian of the content.

Sec 3. MONTHLY SHOW DIRECTOR – Appointed to the position. Report to the Vice President on all aspects of the monthly cruise night. Ensure parking lot is secured, standards are in place, car parking people designated, raffle set up, registration set up, show judges designated, DJ secured, hazard monitoring people and to ensure arrangements have been made to receive the awards on the night of the cruise and to appoint a crew to clean up the parking lot after the show.

Sec. 4. DIRECTOR OF CLUB ACTIVITIES – Fixed position. Responsible for coordinating club activities (i.e. club runs and cruises, social gatherings, etc.)

Sec. 5. GENERAL DUTIES OF APPOINTED BOARD MEMBERS AND COMMITTEE CHAIRMAN –

a. During each specific activity or event that a Director conducts, a record of all activities and an accounting of all expenses must be kept in detail. When the activity or event is completed, a full report must be filed with the club, including a statement of income and expenses, if appropriate.

b. Upon expiry of the term of office or in the event of resignation or termination, the Director shall forthwith turn over to the President all records, books and other materials pertaining to the office and shall return to the Treasurer all monies and materials belonging to the Club.

Article X. AUDITORS

Sec. 1. The auditor is responsible for conducting an official annual review of the club’s financial transactions and records. The auditor should be someone other than the treasurer and preferably someone who is not currently an officer of the club.

Sec 2. The exam will be administered after the December business meeting and the completed written exam will be presented to members at the February business meeting.

Sec. 3. An audit is carried out immediately after the Treasurer’s resignation before the end of his term of office.

Section 4. The association’s financial books can be viewed at any time for important reasons.

Article XI. PROCEDURE FOR AMENDMENT OF THE STATUTE

Sec. 1. Club officers may appoint a Bylaws Amendment Committee to amend or update these bylaws. The proposed changes will then be submitted to the General Membership for majority approval as specified in Section 3 below.

Sec. 2. Any current member or members may propose an amendment to this constitution. You must submit a written petition outlining the proposed changes and have 30% of the dues-paying members sign the petition in order for the petition to be presented to club officers for review. After evaluation by the club officers, the proposed change to general membership may be submitted for consideration and voting. If the club officers veto the 30% petition, it must be signed by 50% of the dues-paying members and may be submitted to the dues-paying members for consideration and voting without regard to the club officers.

Sec. 3. Notices by email, telephone or post to all dues-paying members must precede any proposed changes to the Articles of Association. Changes presented, discussed, and finalized at one business meeting cannot be voted on until the next meeting. These Articles of Association may be amended, accepted or repealed by a two-thirds majority of the members present at the Annual General Meeting after the notice period set forth above.

ARTICLE XII. RESOLUTION

Section 1. If the number of voting members is ten or fewer, the remaining members may dissolve the club by majority vote.

Sec. 2. The association’s assets are distributed after all outstanding debts have been settled with a two-thirds majority of the other members. The assets must not benefit anyone associated with the club.
